How BeeSmart PRO Services collects, uses, shares and protects personal data in connection with this website and initial enquiries.
1. Introduction
This Privacy Policy explains how BeeSmart Business Set Up L.L.C, a company licensed in Dubai, United Arab Emirates by the Department of Economy and Tourism (DET) and trading as "BeeSmart PRO Services" ("BeeSmart", "we", "us", "our"), handles personal data when you visit beesmartproservices.com (the "Website") or contact us with an enquiry.
It does not cover the handling of data once you engage us for services — that is dealt with separately in the written engagement agreement for your matter, which prevails over this Policy in relation to those services.
We process personal data in accordance with applicable UAE law, including Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (the "PDPL") and its implementing regulations, as they come into force.
2. Personal data we collect
2.1 Information you give us directly
When you contact us by email, telephone, WhatsApp or another messaging service, we collect your name and contact details, the service you are interested in, any residency or nationality information you choose to share, and the content of your messages and our correspondence.
2.2 Information collected automatically
- Server logs — your IP address, the date and time of your request, the pages requested, the referring URL, and your browser and device type. These are collected for security, diagnostics and to keep the Website running.
- Analytics data (only with your consent) — through Google Analytics 4: your approximate (city-level) location, device and browser, the pages you view, how you arrived at the Website, and how you move through it. Google truncates IP addresses, and we do not use analytics to identify you personally.
2.3 Special-category and sensitive data
We do not knowingly collect sensitive personal data (for example health, biometric or religious data) through the Website. Where such data is required for a specific engagement — for example medical or biometric records for a visa — it is collected separately under that engagement, with your knowledge.
3. How and why we use personal data
We use personal data for the following purposes, relying on the legal bases indicated:
- Responding to your enquiry and providing information and a quotation — to take steps at your request before entering into a contract, and our legitimate interest in responding to prospective clients.
- Providing services you engage us for — performance of our contract with you (governed by the engagement agreement).
- Communicating with you about your matter or enquiry — contract and legitimate interest.
- Sending you updates or offers about our services, where you have asked for them or have not objected — consent or legitimate interest; you can opt out at any time.
- Operating, securing, maintaining and improving the Website — legitimate interest.
- Analytics — your consent, given through the cookie banner.
- Meeting legal, regulatory, tax and record-keeping obligations, establishing, exercising or defending legal claims, and preventing fraud or misuse — legal obligation and legitimate interest.
4. Cookies and similar technologies
4.1 Strictly necessary storage
We store your cookie choice in your browser's local storage so we do not ask you again. This is always active, the Website cannot function without it, and it does not track you.
4.2 Analytics cookies
Analytics cookies are set only after you select "Accept" on the cookie banner. Google Analytics 4 sets first-party cookies such as _ga and _ga_<container-id>, used to distinguish and recognise users and sessions. These typically last up to two years, and we have set analytics data retention to 14 months.
4.3 No advertising cookies
We do not use advertising, profiling or third-party marketing cookies.
4.4 Managing your choice
You can withdraw or change your consent at any time via "Cookie settings" in the footer, by clearing cookies and local storage in your browser, or by installing the Google Analytics opt-out browser add-on. Google's own handling of the data is described in its Privacy Policy and how Google uses data.
5. Who we share personal data with
We do not sell personal data and do not share it for third-party advertising. We share it only as follows:
- Service providers acting on our instructions — website hosting and content delivery (Netlify, Inc., USA); analytics (Google Ireland Limited and Google LLC, USA); email and productivity tools (Zoho Corporation); and, where you choose to contact us that way, messaging platforms such as WhatsApp (Meta Platforms), which handle your message and number under their own terms.
- Government authorities, regulators and their portals — only where necessary to carry out a service you have specifically requested, and generally under the engagement agreement rather than through the Website.
- Professional advisers, auditors and insurers — under duties of confidentiality.
- A buyer or successor — if our business is reorganised, merged or transferred, subject to this Policy.
- Where required by law — by court order, regulator, or to establish, exercise or defend legal rights, or to protect the rights, safety or property of any person.
6. International transfers
Some of our service providers process personal data on servers outside the UAE, including in the United States and the European Union. Where we transfer personal data internationally, we take reasonable steps to ensure an appropriate level of protection, including relying on the provider's contractual commitments and recognised safeguards.
7. How long we keep personal data
- Enquiries that do not lead to an engagement — kept for up to 24 months from your last contact, then deleted or anonymised, unless we need to retain them in connection with a legal claim.
- Engagement records — kept for the period required by applicable UAE law and our professional and regulatory obligations (generally at least 5 years from the end of the engagement), then deleted or securely archived.
- Server logs — typically 30 to 90 days.
- Analytics data — retained by Google at event level for 14 months.
8. How we protect personal data
We apply technical and organisational measures appropriate to the risk, including HTTPS/TLS encryption on the Website, access controls, and limiting access to personnel who need it. No method of transmission over the internet or of electronic storage is completely secure, so we cannot guarantee absolute security. Please do not send sensitive information by unencrypted email before an engagement is in place.
9. Your rights
Subject to applicable UAE law (including the PDPL as it comes into force), you may:
- ask what personal data we hold about you and request a copy;
- ask us to correct inaccurate or incomplete data;
- ask us to delete data where we are not required to keep it;
- ask us to restrict or stop certain processing, or object to processing based on our legitimate interests;
- withdraw consent where we rely on it (for example analytics or marketing), without affecting processing already carried out;
- request portability of data you have provided to us, where technically feasible;
- lodge a complaint with the competent UAE data protection authority.
To exercise any of these rights, email connect@beesmartproservices.com. We may ask you to verify your identity, and we aim to respond within 30 days.
10. Children
The Website and our services are directed at businesses and adults. We do not knowingly collect personal data from anyone under 18. If you believe a child has provided us with personal data, contact us and we will delete it.
11. Automated decision-making
We do not make decisions that produce legal or similarly significant effects about you based solely on automated processing.
12. Marketing
We only send service updates or offers where you have requested them or have not objected. Every marketing message includes a way to unsubscribe, and you can also email us to opt out at any time. Opting out of marketing does not stop necessary communications about a live matter.
13. Third-party links
The Website links to third-party sites and services (for example WhatsApp and Google's policies). We are not responsible for their content or privacy practices; please review their own policies before providing them with personal data.
14. Changes to this Policy
We may update this Policy to reflect changes in our practices or the law. The current version is always on this page with the "last updated" date below, and we will highlight material changes where practical.
